Parish Council Meeting – December 27, 2011

The meeting was called to order by President Terry Napolitan and opened with a prayer led by Father Vicente.

We posted collections for November of approximately $39.00 over our projected budget amount. Our posted expenses for November were approximately $2,200.00 over the projected amount for the month. Our year to date figures show income up approximately 11% and expenses are down approximately ½%. In addition to the cash reserves we have pre-paid propane in the amount of $6,733.18.

We are still holding in this account the $11,000.00 for the round window in the rear of the church. We are maintaining the $12,000.00 reserve for future expenses. We have also received the full payment for the third stained glass window. We are making payments over the next three months, therefore, there is an additional $4,666.00 being held in the account. All other expenses for the building fund have been paid. The remainder will be used to pay the regular monthly payment and additional principal on the first mortgage to St. Benedict’s.

Black Hill Energy has suggested an energy audit to save money by looking into our energy usage patterns.

Religious Education: The Christmas season has passed. Middle school students have been invited to participate in a Middle School Rally in Pueblo entitled “Come Follow Me." Letters will be going out this week to parents. High school students are invited to participate as volunteer helpers. Parents are also invited to participate in a separate session. The purpose is to make our young people aware of how important their faith is to life’s decisions and to help them stay close to the church family in the coming years of their life.

New Business:

  1. Loan Refinancing: Father was approached a month ago by a couple from our parish with the following proposal: St. Ben’s loan would be paid in full. They would refinance the loan at 4% interest instead of the 6.5% we are now paying. Everything else would remain the same. Should anything happen to the couple, the money would be paid to their estate. By doing this, the interest would be less and more money would go to decreasing the loan balance. Unanimous consent to refinance our note with St. Benedict's was given.
  2. A suggestion was made to run a general collection to pay for the last icon in the amount of $6,500.00. A letter and envelope will be sent out next week.
  3. Terry Napolitan offered to plow the parking lot in the back of the church if he could gain access to the shed. Access was granted. The lot becomes dangerous as snow piles up and ice forms.

Building Fund Balances: September 30, 2011
     Checking: $27,597.39

We are still holding in this account the $11,000.00 for the round window in the rear of the church. We are maintaining the $12,000.00 reserve for future expenses. Because the painting of the yellow house was completed under budget, we have $580.00 remaining from the 2010 “Harvest” Collection that will be added to the $2,400.00 collected so far this year and given to Custer County Catholic Charities for winter heat for the needy. All other expenses for the building fund have been paid. The remainder will be used to pay the regular monthly payment and additional principal on the first mortgage to St. Benedict’s.

The following problems were explained:

  1. The heating system got hit by lightning. The repair was $900.00, but our deductible is $1,000.00. Therefore, we had to pay the entire amount.
  2. Since July 1, the electric bill has been $750.00 to $800.00 per month. Last year it averaged $450.00 per month.
  3. The water bill this summer was about $150.00 per month. This can be adjusted by setting the system to water “the weeds” less frequently.

Catholic Charities of Custer County: People receiving firewood will be limited. (Custer County people only) One flat load in a pickup truck will be allowed once a month as long as the supply lasts. A card will be presented to each family and will be marked as they receive their monthly load. A gate and fence will be erected to control the unauthorized taking of firewood. Mary Lou Koch will provide the gate and Dianne Whalen will provide fencing material. Posts will have to be purchased. Terry Napolitan will transfer the large gate from Mary Lou Koch’s home to the church on November 5. It was decided that Jackie Kirsch will report to the Parish Council quarterly, beginning in January.

Religious Formation: No report.

Worship Committee: The Worship Committee met today, October 25, 2011. The following matters were discussed:

  1. The new changes in liturgy will begin on the First Sunday of Advent.
  2. It is suggested that we apply to the diocese for a grant to purchase lightweight white tables and new chairs. Dianne Whalen will write the grant.
  3. Four Christmas wreaths will be ordered for decorating the church.
  4. Father Vicente asked if the Altar & Rosary Society would like to use the wreath sale as a fundraiser. The matter will be brought before Altar & Rosary at the next meeting.

Altar & Rosary: The Angel Tree will be ready for Mass on November 13. Families may choose an angel and buy a gift. The gift should be brought to the church by Mass on Sunday, December 11. The gifts will be distributed to the various agencies on the following day.

Altar & Rosary will have its traditional Thanksgiving Bake Sale after Mass on November 20.

The Altar & Rosary Advent Covered Dish Luncheon will begin at 11:30 a.m., December 8, at Mary Lou Koch’s home. Those wishing to carpool should meet at the church at 11 a.m. Each person is to bring fresh-baked cookies for filling bags for the people at VALI, as well as a covered dish. The bags will be delivered that afternoon.

We are still holding in this account the $11,000.00 for the round window in the rear of the church. We are maintaining the $12,000.00 reserve for future expenses. We also have $846.00 remaining from last year’s “Harvest” Collection to be used for painting the house. Painting of the house was completed in August. The expenses will be paid in September after they have been tallied. All other expenses for the building fund have been paid. The remainder will be used to pay the regular monthly payment and additional principal on the first mortgage to St. Benedict’s.
The amount of money donated for the Church Building Fund has increased this year. $80,000 dollars has been paid on the St. Patrick’s mortgage and $190,000 on St. Benedict’s. This makes a total of $270,000 paid.
As of September 27, bills had been submitted for the yellow house in the amount of $250.00. It was decided that the money left over from last year’s Harvest Collection would be given to Catholic Charities for the heating needs of the county.
Also, as of September we have paid in totality, the $80,000 mortgage owed to St. Patrick’s. Presently, the mortgage held by St. Benedict’s is in the amount of $131,725.
The amount of money donated to pay down our debt on the new church had increased during the past year.

Religious Formation: Sunday, September 25 was Catechetical Sunday and our first scheduled class. Father blessed our teachers during Mass. Our teachers for this year are:

Phyllis Dearborn - Fourth, Fifth, and Sixth Grade (6 students)
Ginger Koudsi - Seventh and Eighth Grade (6 students)

Confirmation Class: A total of 26 students. We also have two seniors.

Students are asked to participate in the Life Chain on Sunday, October 2. On Sunday, October 7, the junior high and senior high students will travel to Colorado Springs for a Chastity Conference. The trip has been organized by Sandy Dunlap.

Altar and Rosary: The ladies of Altar and Rosary have asked not to be in charge of refreshments after Mass. Father will make an announcement next Sunday asking for an expeditor to be in charge of assigning people each week. It is hoped that many people of the parish will volunteer to share this responsibility.

Worship Committee: The next meeting of the Worship Committee will be October 25 at 2 p.m. The 5th icon has come and been installed as well as the three windows above the altar. Donors of the triptych have been asked to make their third and final payment.

Maintenance: The yellow house has been painted and looks great.

Old Business: Concerns were raised about the firewood and it being taken without permission. Jackie Kirsch will be asked about the distribution of wood.

Remarks by Father Vicente: A parish mission has been planned beginning Sunday, November 13th. Father Gielow will be speaking during Mass. During the week, he will be at Our Lady of Assumption on Monday and Tuesday and at St. Benedict’s on Wednesday and Thursday.

There will be a Worship Committee meeting at 3 p.m., Tuesday, October 25.

Religious Education: I was privileged to accompany our students to World Youth Day. Words cannot express how wonderful our students are. They are the best of children. We can all be very proud. During our days away from home, we were all given, in a very realistic way, a tremendous appreciation for the day to day things we take for granted. We were given a window into the difficulties of life in past generations or in times of disaster.

Such as:
Cold showers late at night outside.
Sleeping on the floor or on the ground. (Oh those ants).
Extreme heat – thunder and lightening.
An hour or more wait to use the not so clean rest rooms.
Ten or more miles of walking a day.
Loaded to capacity subway cars.
Not knowing exactly where we were going or how to get there.
 (On and on)

Now for the JOY:
Young people who were taking care of each other and the adults.
People sharing their deepest thoughts.
Two million young people celebrating the presence of God and the Pope as they acknowledged their love for Jesus.
A sea of young people, from all over the world, honoring each other and their God.
Twelve thousand English speaking students coming together for mass, singing, praying, and loving one another.

The lesson for me: God is always with us. We must rest in Him even when all seems lost and confusing.
GOD IS ALWAYS WITH US.

Altar and Rosary Society: In the past two months, the ladies of Altar and Rosary have been very active in serving our parish.

1. A yard and bake sale was held over the Fourth of July weekend.
2. A funeral dinner was prepared and served with great love for Jerry Dearborn. Over one hundred people were served.
3. In August, wine and cheese were served after Mass in honor of Our Lady of the Assumption - Patronal Feast.

Maintenance: Mary Lou Koch will see to the finishing of the painting of the yellow house. Drainage pipes will be installed across the porch.

New Business: The board approved a brunch to raise money once a month (alternately for the Building Fund and Food for the Poor.)

Jackie Kirsch came to talk to us about the role of Catholic Charities in Custer County. It was decided that since the Lutheran Share program is serving the needy of Custer County food, Catholic Charities would endeavor through Our Lady of Assumption to provide heating for those who are in need. At present, there is a lack of funds for propane. We are able to obtain wood. It was proposed that we use the Harvest Collection to obtain money for propane. People will be scrutinized as to need and the bill will be paid directly as opposed to giving money outright. A motion was made by Joan Kohler and seconded by Joe Franta. The motion was accepted.

Remarks from Father Vicente: During the next two weeks we will have a missionary priest at Mass on Sunday. This week a missionary priest from Food for the Poor and next week a Trinitarian Priest representing Society of Our Lady of the Most Holy Trinity will be with us.

Parish Council Meeting – June 28, 2011

The meeting was called to order by President Terry Napolitan and opened with a prayer led by Father Vicente.

Open Forum: Parishioner, Jackie Kirsch, came to us with a request for permission for Helping Hands to come back to Our Lady of Assumption. Larry Yatch is no longer with Helping Hands – Catholic Charities of Custer County. There is a great need for food in the county. Of the 4,000 people in the county, 550 are below poverty level according to Ruth at Care and Share.
Jackie would like to again be under the auspices of Catholic Charities, Joe Mahoney, Administrator, as they have the structure to monitor recipients. Should Helping Hands come back to Our Lady of Assumption, Jackie and Sandy Dunlap will share the responsibility.

Father reminded the council that there are three imperatives of the church:

1. Worship God.
2. Hand on the faith.
3. Help the poor.

Jackie will investigate and research the following:

1. Co-ordination with other churches in the area.
2. Develop a mission plan with Catholic Charities.
3. Decide what exactly we will supply.
4. Work together with the Episcopal and Methodist churches by asking for donations.
5. Pick-up what no one else is doing.

The commodity truck comes once a month with inexpensive food for the needy.
There will be a request for food in next week’s bulletin.
Jackie will report her findings at our next Parish Council Meeting, August 21.
Council members were very open to having Helping Hands return.

We also have $846.00 remaining from the “Harvest” Collection to be used for painting the house when weather permits. All other expenses for the building fund have been paid. The remainder will be used to pay down the principal of the first mortgage to St. Benedict’s. In May 2011, we were able to pay a total of $1,652.66 on the principal of the note.

Religious Education: The end of the school year has come and gone. We are now preparing for the year to come. The schedule has been prepared. We are looking for teachers. There will be a request made in next week’s bulletin. A review of text books, letters to parents, and plans for the coming year will hopefully be set up before our World Youth Day trip to Madrid and Ireland.

Vacation Bible School: A very impressive Vacation Bible School was created by the Lutheran Church. Over one hundred children from each of the churches in town attended a four day program. Many of our children attended or assisted. They were wonderful.

Altar and Rosary Society:

1. Scholarships in the amount of $500.00 each were presented to Kevin O’Connor and Braden Wilson. Thank you notes have been received and read at our last meeting.
2. The Father’s Day breakfast/lunch was a great success.
3. “Chicken Foot” to raise money for the Lighthouse was poorly attended. We are considering having an evening event.
4. Our yard and bake sale will be held on Friday, July 1st (1 – 5 pm) and Saturday, July 2nd (9 - 3 pm). Donations have been coming. Skip Norcross donated some furniture. Plans have been made to put up some tents outdoors.
5. Plans have been made for a dinner for Jerry Dearborn. The American Legion represented by Dave Simpson will present the American flag and Sheriff Steve Stromley of the Sheriff’s Department will present the Colorado State Flag. Jerry is a veteran and a member of the Search and Rescue team.

Worship: (No Report)

Maintenance: The sprinkler system has been installed. There were, however, complications. Round Mountain insisted that we order a certain part. At the time of installation, it was found that this part would not work. We, therefore, had to purchase another part and a bonded installer was required to install it. The cost was $1,300.00 more than the $6,000.00 expected. Because of a lack of funds, we will be laying seed instead of the hoped for sod.

Old Business:

New Business: Father brought a beautiful, however, old and worn vestment that was made in France. As it is in much need of repair and would cost approximately $500.00 repair, Mary Lou Koch suggested that she would look into the idea of Altar and Rosary could have a fund raiser to cover the cost.

Terry Napolitan asked if we could perhaps make an announcement reminding people of the Eagle Summit Ranch and the wonderful work they do for returning veterans who have been wounded both physically and emotionally. When the week’s program is completed a dinner is served. The community is invited to bring side dishes. A flier will be created and attached to the bulletin. Terry will make an announcement after Mass to the parish advising them of the program and how they can become involved.

There will be no meeting in July as Father will be in England.

Financial Report: $135.00 was sent to the diocese for the Indian Missions. An estimate for the new sprinkler system is thought to be $2,962.

Terry Napolitan made a motion that bids be requested for paint for the yellow house and the sprinkler system. Joan Kohler seconded the motion.

We also have $846 remaining from the Harvest Collection to be used for painting the house when weather permits. All other expenses for the building fund have been paid. The remainder will be used to pay down the principal of the first mortgage to St. Benedict’s. In February 2011, we were able to pay a total of $752 on the principal of the note.

An unexpected expense of $1,371.00 was spent for repair of a broken pipe created by the extraordinary cold during the winter.

Religious Education: Students, kindergarten through tenth grade, are meeting each Sunday morning with an emphasis on Lent and how we can become more aware of others, change behaviors that are not positive, and willingly sacrifice and pray for the benefit of ourselves and others.
Rice Bowls were given out on the first Sunday of Lent. They will be returned on Palm Sunday and throughout Holy Week.
High School students will be preparing for “The Living Stations of the Cross” beginning the first Sunday in April. We invite everyone to join us in “The Living Stations” at 7:30 pm on April 15.
The high school prepared and served a breakfast for the parish in order to raise money for their trip to Madrid, Spain, for World Youth Day. There will be one more fund raiser in April.
Sandy Dunlap will lead next Sunday’s religious education classes. Students will help each other to make rosaries to be given away to those less fortunate.

Worship Committee: The changes in the liturgy will begin the first Sunday in Advent. Father will address the changes to the parish as time goes by.
Preparations for Easter are underway.
The Chrism Mass will be held at the Cathedral in Pueblo on April 12.
Father Papesh will be with us for the Triduum. Father Vicente will celebrate Easter here at Our Lady of Assumption.
On Memorial Day, Monday, May 30, at 9 a.m., Father will again go to the Assumption Cemetery for the blessing of the graves.

Altar and Rosary: A schedule is being put together for Soup and Bread before Stations of the Cross each Friday during Lent. Soup will be served at 6 p.m. and Stations of the Cross will begin at 7.

The Easter Bake Sale will be held on Saturday, April 23, at 9 a.m., in the room next to the library. All parishioners are asked to participate.

On May 22, the parish will celebrate the graduation of two of our students. Altar and Rosary will award Kevin O’Connor and Braden Wilson with $500 scholarships to help them on their way.

The yearly planning meeting of St. Benedict’s and Our Lady of the Assumption will take place on Wednesday, June 1. There will be a Mass at 9 a.m. and the meeting will begin at 10 a.m. The ladies of Altar and Rosary will provide a lunch for all in attendance.

Our annual Fourth of July Garage and Bake Sale will be held on the Fourth of July weekend.

Last Sunday, four ladies came together to make rosaries for those who do not have them.

Maintenance: We are looking into the cost of a badly needed, new sprinkler system. A motion was made by Terry Napolitan and seconded by Joan Kohler to request bids so that we might vote regarding the matter at the next meeting.

Helping Hands: Parishioners have been extremely generous. The area beyond the white picket fence is often filled with groceries.

New Business: Members of the Parish Council will recruit men to cook for our Mother’s Day Breakfast to be held after Mass on May 8.

Old Business: Helping Hands has received quite a bit of food for the Easter holiday. The need, however, is continual.

Father is looking into bringing a mission or retreat to our parish sometime in the near future.

Parish Council Meeting — January 25, 2011

The meeting was called to order by President Terry Napolitan and opened with a prayer led by Father Vicente.

Minutes: Minutes were accepted as written.

Open Forum:
Paul Schlessser addressed the council. He requested permission to put up a storage shelter on the back side of the existing storage unit. It would be eight feet high six feet wide and ten feet long. The floor would be three quarter inch plywood set on 2 x 4s. It would be enclosed with a door. The siding would be T150 painted the same color of the house. The roof would match that of the house roof. Inside would be a workbench. He would store his three bicycles and motorcycle. Paul would pay for the cost and check with the county regarding a permit.
The council said that it would take the matter under consideration.

We posted collections for December approximately 43% over our projected budget amount (this includes approximately $6,000.00 from the Christmas collection). Our posted expenses for December were under the budged amounts by approximately 18%. Our year to date figures show income up approximately 12% and expenses are also up approximately 1%.
Building Fund Balances: 12/31/10? Checking: $26,556.58
We are still holding $11,000 in this account for the round window in the rear of the church. We are maintaining the $23,000 reserve for future expenses. We also have $846.00 remaining from the “Harvest” Collection to be used for painting the house when weather permits. All other expenses for the building fund have been paid. The remainder will be used to pay down the principal of the first mortgage to St. Benedict’s. In December 2010, we were able to pay a total of $1,640 ($440 was additional on the principal from the second collection) on the principal of the note.
The DMF shortfall was $3,350. This amount is half of what was expected. We will pay it down each month.

Religious Education: Letters and schedules were sent out to keep parents informed of class dates for the rest of the school year. Parents were also encouraged to come in and share their faith with the children.
A very successful chili dinner was held on Sunday, January 23, in support of our students going to World Youth Day.
Confirmation candidates are being asked to begin thinking about the saint’s name they would like to choose. It should be someone they can relate to rather than just a name. It would also beneficial to begin thinking of their choice for a sponsor.

Maintenance: Dave, Jerry Dearborn, and Steve Schultz looked at the house and determined that it was structurally sound, however, some trim and siding need to be replaced.

Helping Hands: Parishioners are encouraged to contribute time and food as they have in the past. Helping Hands is now at Hansen Haus across from the court house.
